2. Scope of this policy

This Privacy Policy explains how EvolutionPhase collects, uses, stores, and shares personal information when you:

• Post comments, discussions, feedback, or bug reports;
• Contact EvolutionPhase;
• Subscribe to Early Access or development email updates;

Information you provide

Depending on the features you use, we may collect:

Please do not publish sensitive personal information in comments, forum posts, usernames, or public profile fields.

When you visit or use the website, WordPress, Hostinger, security services, and analytics tools may automatically process:

6. WordPress accounts and profiles

EvolutionPhase uses WordPress to manage website accounts. When you register, WordPress stores your username, email address, profile information, role, account settings, and a securely hashed representation of your password. Login cookies are used to keep you signed in and remember screen preferences. If you select “Remember Me,” your login may remain active for a longer period. You are responsible for keeping your login information secure. Please contact us if you believe your account has been accessed without permission.

7. Comments and community content

When visitors leave comments or submit community content, we may collect:

• The submitted content;
• The name and email address provided;
• IP address;
• Browser user-agent information;
• Date and time of submission.

This information may be processed to publish the content, prevent spam, moderate discussions, investigate abuse, and protect other users. Content posted publicly may remain visible until it is removed. Copies may remain temporarily in backups or security records.

8. Gravatar

WordPress may send an anonymized value derived from your email address to the Gravatar service to determine whether you use a profile image. If Gravatar is enabled, your profile image may appear publicly beside your comments or account activity. Gravatar is operated by Automattic and is governed by Automattic’s own privacy policy.

9. Contact forms and email

If you contact EvolutionPhase, we process the information in your message to:

• Respond to your request;
• Provide support;
• Investigate reported bugs;
• Maintain records of important communications;
• Protect the project against abuse or legal claims.

Please provide only the information necessary for your request.

Early Access mailing list

If you join the EvolutionPhase Early Access list, we process your email address, subscription preferences, and consent record to send development news, playtest invitations, and Early Access announcements. Subscription is optional and based on your consent. You may withdraw consent or unsubscribe at any time using the link in an email or by contacting us. Brevo processes subscriptions, contact-list information, consent records, and email delivery on our behalf.

10. Analytics

EvolutionPhase may use Google Site Kit and Google Analytics to understand general website usage. Depending on configuration and consent, analytics information may include:

• Number of visitors;
• Session information;
• Pages viewed;
• Approximate geographic location;
• Browser and device information;
• Referring websites;
• Interactions with website features.

Where required, non-essential analytics will be activated only after consent. You may reject or withdraw analytics consent through the available cookie settings. Analytics data is used in aggregated reports to understand performance and improve the website. EvolutionPhase does not intentionally send account passwords, private messages, or sensitive personal information to Google Analytics. Google processes analytics information under its own terms and privacy documentation.

EvolutionPhase may share limited personal information with service providers that help operate the project, including:

• Hostinger, for website hosting and infrastructure;
• WordPress and installed WordPress services;
• Google, when Site Kit or Analytics is enabled;
• Automattic, when Gravatar or related services are used;
• Brevo, for subscription forms, contact-list management, consent records, and email delivery;
• Security, backup, email, or anti-spam providers;
• Separately hosted browser-game infrastructure.

These providers may process information only as necessary to supply their services or meet their own legal obligations. EvolutionPhase does not sell personal information.

14. International transfers

Some service providers may process information outside France or the European Economic Area. Where required, transfers will rely on appropriate protections, such as:

• An adequacy decision;
• Standard Contractual Clauses;
• Another legally recognized transfer mechanism.

15. How long we retain information

We retain personal information only for as long as reasonably necessary. Unless a different period is required for legal or security reasons:

• Account information is retained while the account remains active.
• Account information may be removed or anonymized after a valid deletion request.
• Comments and public community content may be retained while published.
• Contact and support messages may be retained for up to 24 months after resolution.
• Security and technical logs may be retained for up to 12 months.
• Analytics information is retained according to the configured analytics retention period.
• Mailing-list information is retained until you unsubscribe or withdraw consent. A limited suppression record may then be retained to ensure that your opt-out continues to be respected.
• Backup copies may remain temporarily until automatically overwritten.

Information may be retained longer where necessary to comply with law, investigate abuse, resolve disputes, or defend legal claims.

16. Security

We use reasonable technical and organizational safeguards intended to protect personal information, including access controls, encrypted HTTPS connections, password hashing, software updates, and restricted administrative access. No internet service can guarantee complete security. Please use a strong, unique password and notify us promptly if you suspect unauthorized access.

17. Children’s privacy

EvolutionPhase is not intended to collect personal information from children who cannot legally consent to online data processing in their country without authorization from a parent or guardian. If you believe that a child has submitted personal information without appropriate authorization, contact us so the situation can be reviewed and the information removed where required.

Depending on applicable law, you may have the right to:

19. Data export and deletion

Registered users may request a copy of their personal information or request account deletion by contacting contact@evolutionphase.com. Deleting an account may not immediately remove:

• Public content that must be retained for discussion continuity;
• Information required for security or legal compliance;
• Temporary backup copies;
• Information that has already been anonymized.

Where appropriate, public content may be deleted, anonymized, or reassigned.

20. Changes to this policy

This policy may be updated when EvolutionPhase features, service providers, or legal requirements change. The updated version will be published on this page with a revised “Last updated” date. Material changes may also be communicated through the website or account system where appropriate.
